Client Policies

Shaw Creative Studio provides professional writing, graphic design, social media design, wedding design, editorial review, and related creative services.

These Client Policies are intended to clearly establish expectations for inquiries, custom projects, payments, revisions, cancellations, project materials, intellectual property, final files, and other aspects of working with Shaw Creative Studio.

Individual proposals, quotes, invoices, or project agreements may contain additional terms based on a specific project’s requirements. If a project-specific written agreement differs from these general policies, the project-specific agreement will control for that project.

Inquiries, Quotes & Pricing

Shaw Creative Studio does not publish custom-service prices on this website.

Because projects vary in scope, complexity, content, format, and final requirements, prospective clients are encouraged to submit an inquiry describing the services they need.

After reviewing an inquiry, Shaw Creative Studio may request additional information or provide a project-specific quote, proposal, or agreement.

Submitting an inquiry does not:

  • Create a client relationship

  • Create a binding contract

  • Guarantee project acceptance

  • Reserve project availability

  • Establish project pricing

  • Guarantee a completion date

Final pricing and project scope will be communicated before the client commits to the project.

Pricing may take into consideration factors including:

  • Type and number of deliverables

  • Project complexity

  • Amount of information or source material

  • Number of pages, panels, layouts, or formats

  • Variable or individualized information

  • Required dimensions

  • Number of versions or adaptations

  • Image or file preparation

  • Specialty production requirements

  • Research or preparation requirements

  • Requested timeline

  • Other project-specific needs

Project Acceptance

Shaw Creative Studio reserves the right to accept or decline projects based on scope, availability, subject matter, required expertise, timeline, or other reasonable business considerations.

A project is not considered accepted or scheduled until the required project agreement, approval, deposit, or other stated onboarding requirements have been completed.

Client-Provided Information & Materials

Clients are responsible for providing the information and materials reasonably necessary to complete their project.

Depending on the service, this may include:

  • Final wording

  • Names, dates, locations, prices, and contact information

  • Business, organization, event, publication, or product information

  • Logos and brand guidelines

  • Brand colors and fonts

  • Photographs, illustrations, or graphics

  • Calls to action

  • Printer specifications

  • Required dimensions

  • Social media platform requirements

  • Guest, table, meal, seating, or other variable information

  • Books, documents, links, notes, or source materials

  • Required word counts or formatting requirements

  • Intended audience and purpose

For larger packages, every item does not necessarily need to be provided at the beginning of the entire project. However, all information required for a specific piece must be supplied before work begins on that piece.

Missing, incomplete, or delayed information may affect the project schedule.

Accuracy of Client-Provided Information

Clients are responsible for reviewing and confirming the accuracy of information they provide.

This includes, when applicable:

  • Names and spelling

  • Dates

  • Addresses

  • Prices

  • Contact information

  • Statistics

  • Quotations

  • Guest information

  • Seating assignments

  • Meal selections

  • Calls to action

  • Product or service information

  • Other factual content

Changes required because client-provided information was inaccurate, incomplete, or changed after work began may count as a revision or require additional fees.

Clients are also responsible for confirming that they have the right or permission to provide and use photographs, logos, illustrations, fonts, quotations, copyrighted material, confidential information, trademarks, or other third-party materials submitted for a project.

Revision Policy

Unless otherwise stated in writing, Shaw Creative Studio custom projects include two revision rounds.

One revision round consists of one consolidated list of requested changes submitted at the same time.

Revisions are intended to refine the approved creative or editorial direction.

Depending on the service, revisions may include reasonable adjustments to:

  • Layout

  • Typography

  • Color

  • Image placement

  • Spacing

  • Visual hierarchy

  • Supplied wording

  • Tone

  • Organization

  • Clarity

  • Emphasis

  • Other details within the approved direction

Clients are responsible for carefully reviewing the complete piece before submitting each revision request.

Once both included revision rounds have been completed, the project is considered finalized and prepared for delivery.

Additional revisions, substantially different creative concepts, replacement content, major changes in direction, significant new information, new dimensions, additional versions, a different audience, or a substantially different project purpose are outside the original project scope and may require an additional quote.

Additional Work & Changes in Scope

Work requested outside the approved project scope is not automatically included because it relates to the original project.

Additional work may require:

  • An updated quote

  • An additional invoice

  • A revised project timeline

  • A separate project agreement

Whenever practical, additional costs will be communicated before out-of-scope work is performed.

Payments, Deposits & Invoicing

Shaw Creative Studio does not process custom-service payments directly through this website.

Deposits, invoices, and payments are handled through a third-party invoicing or payment-processing service selected by Shaw Creative Studio.

The applicable project price, deposit requirement, payment schedule, and due dates will be communicated through the client’s proposal, project agreement, invoice, or other written communication.

Unless otherwise stated in writing, a deposit may be required before a project is scheduled or work begins.

Deposits are applied toward the total project price.

Once work has begun, some or all of the deposit may become nonrefundable because it compensates Shaw Creative Studio for project preparation, work performed, and time reserved on the production schedule, subject to the specific project agreement and applicable law.

Any remaining balance is due according to the schedule stated in the client’s invoice or project agreement.

Unless otherwise agreed in writing, final deliverables may be withheld until all amounts due for the project have been paid.

Drafts, previews, proofs, and preliminary materials do not constitute final delivery.

Third-Party Payment Services

Payment information submitted through a third-party invoicing or payment provider is also subject to that provider’s terms, privacy policies, and security practices.

Shaw Creative Studio does not require clients to submit full credit-card or banking information through the Shaw Creative Studio website or general inquiry form.

Cancellations & Refunds

Clients who wish to cancel a project should notify Shaw Creative Studio in writing as soon as possible.

Cancellation Before Work Begins

Refund eligibility before work begins may depend on:

  • Whether production time has already been reserved

  • Whether project preparation has begun

  • Whether third-party costs have been incurred

  • The terms of the applicable proposal or project agreement

Nonrecoverable third-party expenses incurred on behalf of the client are not refundable.

Cancellation After Work Begins

Once work has begun, payments already made may be retained to compensate Shaw Creative Studio for:

  • Work completed

  • Project preparation

  • Time reserved

  • Third-party expenses

  • Other project-related obligations

If the value of completed work exceeds the amount already paid, the client may remain responsible for payment for work performed through the cancellation date.

Unfinished drafts, concepts, designs, writing, or other working materials are not released or licensed for client use unless specifically agreed in writing and any applicable payment has been made.

Completed Projects

Payments for completed custom services are nonrefundable after final approval and delivery, except where otherwise required by law.

A change in personal preference after final approval does not constitute grounds for a refund.

Project Inactivity & Client Delays

Timely client communication is necessary to keep projects moving.

Clients are responsible for providing requested:

  • Content

  • Materials

  • Feedback

  • Approvals

  • Revision requests

  • Payments

  • Other required information

A client delay may affect the original project schedule.

14 Days of Inactivity

If Shaw Creative Studio is waiting for required client information, feedback, approval, or another client action for 14 consecutive calendar days, the project may be placed on hold.

Once placed on hold, the project will resume according to current availability and may not return to its previous position on the production schedule.

30 Days of Inactivity

After 30 consecutive calendar days without required client activity, Shaw Creative Studio may classify the project as inactive and remove it from the active production schedule.

Restarting an inactive project may require:

  • Confirmation of the remaining scope

  • Updated information

  • Payment of outstanding invoices

  • A revised timeline

  • A new project start date

  • An updated quote if requirements have materially changed

60 Days of Inactivity

After 60 consecutive calendar days without required information, feedback, approval, payment, or communication, Shaw Creative Studio may consider the project abandoned and close it.

A later request to resume an abandoned project may be treated as a new project and quoted according to current scope, pricing, and availability.

Time-Sensitive Projects

Wedding projects, events, launches, campaigns, and other deadline-dependent work require timely client participation.

Shaw Creative Studio cannot guarantee an originally anticipated deadline when information, feedback, approvals, or payments are delayed by the client.

If a client delay later creates a need for expedited work, rush fees may apply if rush scheduling is available.

Rush Scheduling

Rush scheduling may be available depending on project scope and current availability.

Approved rush projects require an additional 30% to 50% rush fee.

Rush availability is not guaranteed.

Availability may depend on factors including:

  • Number of deliverables

  • Complexity

  • Amount of client-provided information

  • Amount of source material

  • Variable information

  • Specialty-production requirements

  • Revision schedule

  • Requested completion date

The applicable rush fee will be communicated before rush service is approved.

Writing & Design Services

Writing and graphic design are separate services unless a project agreement specifically combines them.

Unless writing services are separately contracted, clients are responsible for providing the final wording and content required for graphic design projects.

Purchasing graphic design does not automatically include:

  • Copywriting

  • Rewriting

  • Proofreading

  • Editing

  • Research

  • Marketing strategy

  • Content strategy

Writing or editing services may be contracted separately when appropriate.

Likewise, purchasing writing services does not automatically include graphic design.

Writing Service Scope

Writing projects are developed primarily from information, references, and source materials provided by the client.

Reasonable review of client-provided materials needed to understand the assignment is included.

Unless specifically included in writing scope, services do not include:

  • Extensive independent research

  • Original reporting

  • Interviews

  • Academic research

  • Technical research

  • SEO strategy

  • Marketing strategy

  • Brand strategy

  • Public relations strategy

  • Media outreach

  • Grant writing

  • Academic or student writing

  • Legal writing

  • Medical writing

  • Content calendars

  • Social media management

  • Publishing or distribution

Projects requiring services outside Shaw Creative Studio’s standard scope may be declined.

Editorial Book Reviews

Editorial book-review fees compensate Shaw Creative Studio for professional reading, evaluation, and writing.

Payment does not purchase or guarantee:

  • A positive review

  • A particular rating

  • An endorsement

  • A recommendation

  • Publication

  • A specific promotional result

Revisions to editorial reviews may refine wording, clarity, organization, or emphasis but may not be used to require a more favorable opinion or rating.

Social Media Design

Shaw Creative Studio provides custom social media graphic design and reusable Canva template design.

Unless separately contracted, Social Media Design does not include:

  • Social media strategy

  • Content strategy

  • Content calendars

  • Hashtag research

  • Posting

  • Scheduling

  • Account management

  • Community engagement

  • Analytics

  • Advertising management

  • Photography

  • Video recording

  • Video editing

  • Animation

Clients are responsible for publishing completed content and ensuring that their content complies with the current requirements of their chosen platforms.

Social media platforms may change dimensions, cropping requirements, safe areas, functionality, and display formats after a project has been delivered. Shaw Creative Studio is not responsible for future platform changes that affect previously delivered graphics.

Canva Template Terms

A Canva account is required to access and edit Canva template projects.

Clients are responsible for maintaining their Canva account and any Canva Pro subscription or licensing required for premium fonts, photographs, graphics, or other elements.

Approved Canva templates may be edited and reused by the purchasing client for that client’s own business or organization.

Templates may not be:

  • Resold

  • Redistributed

  • Sublicensed

  • Shared as reusable templates

  • Transferred to another business or organization for independent reuse

  • Provided to another party for resale or redistribution

Unless separately contracted, future template updates, ongoing support, content entry, and social media management are not included.

Wedding Design

Shaw Creative Studio provides wedding stationery design, wedding-day graphic design, and final file preparation.

Unless separately contracted or specifically included, Wedding Design services do not include:

  • Wedding planning

  • Guest-list management

  • Mailing-list preparation

  • Formal wedding-etiquette consultation

  • Calligraphy

  • Guest addressing

  • Invitation assembly

  • Postage

  • Mailing

  • Printing

  • Rentals

  • Installation

  • Floral or event styling

  • Day-of coordination

  • Physical production

Wedding stationery wording, rewriting, editing, proofreading, and short informational copy may be available separately through Writing Services.

Variable Wedding Information

Place cards, escort cards, seating charts, menus, programs, table numbers, and similar materials may require individualized formatting.

Unless otherwise stated, standard pricing covers one coordinated design and one standard layout.

Formatting individual:

  • Guest names

  • Table assignments

  • Meal selections

  • Seating information

  • Personalized menus

  • Table numbers

  • Alternate schedules

  • Other changing information

may be priced separately according to quantity and complexity.

Final approved information must be supplied before variable formatting begins.

Changes to variable information after formatting has begun may require an additional fee.

Printing & Physical Production

Unless specifically stated otherwise, Shaw Creative Studio provides design and final file preparation only.

Standard design services do not include:

  • Printing

  • Paper

  • Envelopes

  • Specialty finishes

  • Fabrication

  • Installation

  • Mailing

  • Postage

  • Shipping

  • Assembly

  • Physical production

  • Vendor coordination

Clients may use approved final files prepared for professional printing with the printer or production vendor of their choice.

Clients are responsible for obtaining and providing required printer specifications and reviewing printer proofs before production.

Shaw Creative Studio is not responsible for third-party production problems including printing errors, color variations, material differences, trimming, finishing, shipping delays, installation problems, or other errors caused by a printer or production provider.

Specialty Production

Projects intended for specialty production processes may require additional preparation or an adjusted quote.

Examples may include:

  • Foil stamping

  • Letterpress

  • Embossing or debossing

  • Die cutting

  • Laser cutting

  • Specialty inks

  • Custom shapes

  • Unusual folds

  • Specialty materials

Clients should identify specialty-production requirements and provide vendor specifications as early as possible.

Compatibility with specialty production cannot be guaranteed when required vendor specifications have not been provided.

Final Files

Approved projects are delivered in formats appropriate to the selected service and intended use.

Depending on the project, final delivery may include:

  • PDF

  • PNG

  • JPG

  • SVG when applicable

  • DOCX

  • Plain or copy-ready text

  • Canva template links

  • Other appropriate standard formats

File types, dimensions, resolution, bleed, color settings, and other specifications depend on the project.

Unless specifically stated in the project agreement, final delivery does not include:

  • Editable design working files

  • Preliminary drafts

  • Rejected or unused concepts

  • Internal notes

  • Font files

  • Research databases

  • Licensed third-party assets

  • Other development materials

Intellectual Property & Usage Rights

Client-Provided Materials

Clients retain whatever ownership rights they already hold in materials supplied to Brand Spark Creative Co.

By supplying those materials, the client represents that they have the right or permission necessary for their use in the project.

Approved Final Work

Upon full payment, the client receives the rights or license identified in the applicable project agreement to use the approved final work for its intended purpose.

Only approved final deliverables are released for use.

Preliminary & Unused Work

Unless specifically agreed otherwise, Shaw Creative Studio retains rights to:

  • Rejected concepts

  • Preliminary designs

  • Drafts

  • Sketches

  • Alternate creative directions

  • Internal working files

  • Development materials

  • Unapproved writing

  • Other unused work

These materials may not be copied, published, recreated, transferred to another service provider for completion, or otherwise used without permission.

Third-Party Assets

Projects may incorporate properly licensed third-party materials such as fonts, stock photography, illustrations, Canva elements, or graphics.

Shaw Creative Studio cannot transfer ownership of intellectual property owned by a third party.

Use of those materials remains subject to the applicable third-party license.

The client is responsible for obtaining any separate license or subscription required for continued use.

Portfolio Rights

Unless confidentiality has been agreed to in writing before the project begins, Shaw Creative Studio may display completed, public-facing creative work for professional portfolio and self-promotional purposes after the work has been publicly released by the client.

This may include:

  • The Shaw Creative Studio website

  • Professional portfolios

  • Social media

  • Business-development materials

  • Promotional presentations

Shaw Creative Studio will not intentionally publish confidential business information, unpublished manuscripts, private guest information, or other nonpublic sensitive content for portfolio purposes.

Clients requiring confidentiality should request it before work begins so that the restriction can be addressed in the project agreement.

Clients are not required to publicly credit Shaw Creative Studio unless specifically agreed otherwise.

Digital Products & Downloadable Resources

Shaw Creative Studio may offer ebooks, printable resources, card-based activities, information sheets, and other downloadable products.

Digital purchases may be completed or delivered through a third-party service.

Unless an individual product specifically states otherwise, digital resources are licensed for the purchaser’s personal use.

Purchasing a digital product does not transfer copyright ownership.

Digital products may not be:

  • Resold

  • Redistributed

  • Publicly uploaded

  • Shared through file-sharing systems

  • Republished

  • Rebranded

  • Modified for resale

  • Used to create competing products

  • Distributed to other individuals, groups, organizations, clients, or classrooms beyond the license purchased

Printing a resource for the purchaser’s own personal use is permitted when the resource is designed to be printable.

Digital Product Refunds

Because digital products can be accessed or retained after delivery, digital-product purchases are final and nonrefundable once access or download has been provided, except where otherwise required by applicable law.

If a purchaser experiences a technical problem accessing a purchased file, Shaw Creative Studio should be contacted so reasonable assistance can be provided.

Digital Resource Disclaimer

Digital resources are intended for general education, reflection, understanding, and personal reference.

They are not intended to provide:

  • Therapy

  • Diagnosis

  • Medical treatment

  • Mental-health treatment

  • Crisis services

  • Legal advice

  • Individualized professional guidance

Digital products are not substitutes for services provided by appropriately qualified professionals when professional assistance is needed.

No particular personal, emotional, health, business, financial, or other outcome is promised or guaranteed.

Nonprofit Discount

Registered nonprofit organizations may receive 10% off eligible Writing, Business & Marketing Design, and Social Media Design services.

Proof of current nonprofit status may be requested.

The discount applies to eligible Shaw Creative Studio service fees and does not apply to:

  • Rush fees

  • Licensed assets

  • Third-party expenses

  • Previously contracted work

Nonprofit discounts cannot be combined with other promotions or discounts and remain subject to project availability.

Results & Outcomes

Shaw Creative Studio provides professional creative services but does not guarantee a particular:

  • Business result

  • Sales result

  • Marketing result

  • Fundraising result

  • Publishing result

  • Audience-growth result

  • Social-media result

  • Promotional result

  • Personal result

Results depend on many factors beyond the control of Shaw Creative Studio.
